Consider/Approve Bus Tire Bid


Background Information:

In addition to advertising, we solicited bids for the purchase of bus tires.  Tires are recurring items that are budgeted each year within the General Purpose School Fund and funds are available for this purchase. We received bids from two (2) companies, which are summarized on the bid request tally sheet. Individual bids were as follows:

Hub City Tire – $314.00/tire through September 30, 2012
Hub City Tire – $403.00/tire beginning October 1, 2012 through June 30, 2013

Best One Tire – $314.34/tire through September 30, 2012
Best One Tire – $403.01 beginning October 1, 2012 through June 30, 2013

There are not significant differences in the bid prices due to both companies quoting a “state bid price.” However, there are differences in the amount of credit the System will realize for retreadable casings.

Hub City Tire – $40.00/retreadable casing
Best One Tire – $55.00/retreadable casing

The low bid on tires was submitted by Hub City Tire; however, the low bid on retreadable casings was submitted by Best One Tire. According to Mr. Tim Maynard, his plans are to purchase, after the bid is accepted, sixty (60) tires. Of the tires being replaced, approximately sixteen (16) will be retreadable casings. Based on the bids submitted and the System’s plan, our total cost will be

Hub City Tire – $314.00/tire x 60 ($18,840.00) less $40.00/retreadable casing x 16 ($640.00) = $18,200.00
Best One Tires – $314.34/tire x 60 ($18,860.40) less $55.00/retreadable casing x 16 ($880.00) = $17,980.40

Therefore, the lowest and best bid appears to be with Best One Tire.

Staff Recommendation:

I recommend approval of the lowest and best bid as submitted by Best One Tire in the amount of $314.34 per tire through September 30, 2012, and $403.01 per tire from October 1, 2012 through June 30, 2013, with a credit for each retreadable casing of $55.00 per casing.
